Prepay Terms & Conditions



Contracting Parties
These Terms and Conditions form the contract for the prepaid booking of a vehicle with Alamo (the 'booking contract'). The contracting parties to the booking contract are Alamo Rent-A-Car UK ('us' or 'we') and 'you' the customer that has made the prepaid booking. Alamo Rent-A-Car UK Limited is a limited liability company established under the laws of England with a registered office at Enterprise House, Vicarage Road, Egham, Surrey TW20 9FB with a company registry number of 2946689 and a VAT number of GB 641634450. We provide a reservation system for all of our affiliates and their franchisees and licensees that operate under the Alamo brands (collectively referred to in these Terms and Conditions as "Alamo"). Booking
The details of your prepaid booking are as set out in the email confirmation sent to the email address you provided at the time of booking.

Cancellation and Cancellation Charges
You do not have a right of withdrawal from the booking under EU law; however, you may cancel your booking at any time for any reason by following the instructions on our website. You will receive a full refund of the total amount of the booking if you cancel your booking 3 days or more before your specified pick up time.

If you cancel your booking less than 3 days but at least 24 hours before your specified pick up time, we will refund the total amount of the booking minus the lesser of: i) the total amount of the booking; and ii) £25 for UK residents. If you cancel your booking less than 24 hours before your specified pick up time, you will not be entitled to a refund of your booking.
The refund due to you will be made to the credit card you used to make your booking.

We reserve the right to cancel a booking at any time upon notice but only for good cause, such as an event of Force Majeure affecting availability of vehicles; a breach of a rental contract by you including a failure to pay any balance due for rentals; harassment or other abusive behaviour towards employees or customers of Alamo, it affiliates, licensees, and franchisees; or your fraudulent activity. For this purpose, Force Majeure is defined as storms or weather conditions, earthquakes, floods, or other acts of God, war and armed conflicts, transportation strikes or other events or conditions beyond the control of Alamo which results in a shortage of vehicles at the rental branch specified in the booking. In the event of such cancellation, we will refund the total amount of the booking.

Modification
When booking your vehicle please ensure the dates and times entered are correct. If your circumstances change and you require the vehicle on different dates/times, please modify your booking by following the instructions on our website.

You may modify your reservation online at any time up until 12 hours before your specified pick up time. We do not charge a modification fee but the new booking will be at prevailing market rates. Within the last 12 hours before pick up, you may not modify your booking.

No-shows - late and early arrivals
For non-airport bookings - A vehicle will be held for 2 hours after the specified pick up time. After this time we cannot guarantee that a vehicle will be available upon your arrival.

For airport bookings - If you have included a flight number with your booking, a vehicle will be held until the flight has landed and cleared. If a flight delay results in your arrival after the branch closing time, a staff member will wait for the flight to land and clear. If the delay is in excess of 1 hour after the branch closing time, an out of hours?? fee may apply. If you have not included a flight number with your booking, we will hold a vehicle for a period of up to 2 hours after your specified pick up time or until branch closing time, whichever is earlier.

If you arrive at the rental branch 1 day or more before the date shown on the booking, we may not have a selected vehicle available. The rental branch will honour your booking subject to the availability of the selected vehicle.

If you fail to collect a vehicle on the specified pick-up date or if a vehicle was unavailable due to your late arrival as provided above, you will not receive a refund of your booking.

Unused Rental Days
Any unused rental days or options on prepaid bookings are non-refundable.

Rental Contract
The booking contract is a contract to ensure that the selected vehicle class is available to you for rental at the time and location specified in your booking subject to these Terms and Conditions. It is not a contract for vehicle rental services. The rental contract between Alamo and you for the use of the vehicle during the rental period will be exclusively entered into at the time you pick up the vehicle at the relevant branch location and will be entered into by the relevant local Alamo entity, affiliate or franchisee, will be subject to local standard terms and conditions in effect at the time and place of the rental, and will be subject to the law of the place of rental.

Minimum Age Requirements
To complete the booking process, you must provide your age to verify compliance with any minimum age requirements. Your booking will include any extra charges related to age restrictions for the rental location in your booking

Cross Border Policy
If you intend to drive the rental vehicle cross border to other countries, please contact the rental location before making your booking to verify any cross border restrictions. You can find the contact details for your rental location on the website.

License and Document Requirements
All drivers must have a valid driver licence in effect at least one year (or more according to the renting country and the car category) prior to the rental start date and present it at the rental counter at the commencement of the rental. A valid major credit card must also be presented at time of rental

Limitation of Liability
We, Alamo, and our respective officers, directors, employees and agents of each such entity are not liable for any delay in providing or failure to provide a vehicle if the delay or failure resulted from an event of Force Majeure as defined above and are not liable for any indirect, incidental, special or consequential damages, including but not limited to, damages for loss of profits, goodwill, use, data or other intangible losses resulting from the booking and prepayment, our breach of these Terms and Conditions, or our negligence unless such damages were foreseeable as an obvious consequence of our breach or were contemplated by you and us at the time we entered into the booking contract.

Nothing in these Terms and Conditions excludes or limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation or for breach of any implied warranties that cannot be excluded by law.

Entire Agreement
These terms and conditions constitute the entire agreement between us and you in respect of the prepaid booking of a vehicle. You acknowledge that by entering into this booking contract you are not relying on and that you will have no remedies in respect of any statement, representation, assurance, or warranty that is not set out in these Terms and Conditions.

Assignment
We may assign our rights and obligations under a booking contract to another organization but this will not affect your rights under these Terms and Conditions. You may not transfer your rights or your obligations under these Terms and Conditions. The booking contract is between us and you. No other person shall have any rights to enforce its terms.

Waiver
If we fail to insist that you perform any of your obligations under these Terms and Conditions or if we do not enforce our rights against you or if we delay in doing so, that will not mean that we have waived our rights against you and will not mean that you do not have to comply with those obligations. If we do waive a default by you we shall only do so in writing.

Governing Law and Jurisdiction
These Terms and Conditions are governed by English law. You and we both agree that the courts of England and Wales will have non-exclusive jurisdiction in respect of any dispute or claim arising out of or in connection with these Terms and Conditions and/or any booking contract. However, if you are a resident of Northern Ireland, Republic of Ireland or Scotland, you may also bring proceedings in your home jurisdiction.

Filing
We will not file a copy of the booking contract between us. You should save or print a copy of these Terms and Conditions for your records. You will receive an email confirmation of your booking.

Key Facts About Your Rental



This is a summary of the key facts you should know when hiring a vehicle, which will help you understand what will be included in your rental agreement.
The rental agreement will be entered into at the time and place of vehicle hire between you and our affiliate or franchisee of the Alamo Rent A Car/National Car Rental brand that operates the branch location (referred to as “the Rental Company”). You should always read your rental agreement in full before signing it. You can view the rental agreement in your renting country at the time of your rental pickup.
Unless you purchase a waiver or protection product or one is included in your reservation as specified above, you are responsible to the Rental Company for theft or any damage to the vehicle during the full period of your vehicle hire. This is true even if the accident was not your fault. You are liable for loss of revenue if the vehicle cannot be rented because it is damaged or stolen, a reasonable claims administration fee, diminishment of value, and for any towing, storage or impound fees of the vehicle. Unless third-party liability protection is included in your rental as provided below or is purchased by you, you are also responsible for injury or damages to third parties.
Please note your liability for damage extends until the vehicle is checked in by the Rental Company. Unless otherwise provided in the rental agreement, if you return the vehicle after the Rental Companies business hours, you will remain responsible for any damage or loss in accordance with the rental agreement until the Rental Company reopens and conducts the post-rental inspection.



Your rental agreement will include the following protection products:

Collision Damage Waiver (CDW) - Excess will apply
Collision Damage Waiver (CDW) removes a renters responsibility to the rental vehicle excluding tires and windshield. CDW is not insurance. Purchasing CDW reduces the renters responsibility to a deductible ranging between 850 EUR and 2000 EUR for a daily fee ranging between 7.49 EUR and 25.75 EUR depending on the car type and length of rental.

The daily fee excludes VAT and local surcharge.

In case of violation such as alcohol, drugs or any other misuse as stated in the terms and conditions, the renter stays responsible for the full value of the damage. If CDW is declined by renter, he or she will be responsible for the full value of the damage to the rental vehicle. In case of of damage or theft an administration cost of 40 EUR excluding VAT and local fees is applied in addition to the non-waivable excess.

All prices are subjected to changes without prior notice.

Theft Protection (TP)
Theft Protection (TP1 ) is a theft protection product that reduces a renters responsibility for theft and or damage caused as a result of attempted theft of the rental vehicle or any of its parts. TP1 is not insurance. purchasing TP1 reduces the renters responsibility to a deductible ranging between 850 EUR and 2000 EUR for a daily fee ranging between 5.06 EUR and 17.54 EUR depending on the car type and length of rental. The daily fee excludes VAT and local surcharge.

In case of negligence such as not having taken measures to ensure the rental vehicles safety and security. The renter is responsible for the full value of the loss. If TP1 is declined by the renter, he or she will be responsible for the full value of the rental vehicle in case of theft or attempted theft. In case of damage or theft an administration cost of 40 EUR excluding vat and local fees is applied in addition to the non waivable excess. All prices are subjected to changes without prior notice.

You have the following optional protection products available for an additional charge:

Super Collision Damage Waiver (SCDW)
Super Collision Damage Waiver (SCDW) reduces the renter's responsibility for damage in case of accident, fire or vandalism to the rental vehicle to zero.

Third party liability excess and administration costs are also reduced to zero. This product includes TWP tire and windshield protection.

The purchase of TP1 Theft Protect One and CDW Collision Damage Waiver is required for renters to qualify for this product. SCDW rates range from 5.80 EUR to 20.50 EUR per day depending on car type and length of rental. Daily fee excluding VAT and local surcharge.

In case of violation such as alcohol, drugs or any other misuse as stated in the T&C's, the renter stays responsible for the full value of the damage.
This can be added at our rental counters so please ask our rental agents for more information on arrival.

Personal Accident Insurance
Personal Accident Insurance is an insurance covering the driver of the rental vehicle only. PAI covers bodily injury or death caused by an accident during the use of the rented vehicle. The price of PAI ranges from 2.10 EUR per day up to 4.2 EUR per day. The daily price excludes VAT and local surcharges. In case of bodily injury PAI compensation covers medical care and in the case of death PAI covers funeral costs up to a limit of 495,787 EUR. Several exclusions apply such as involvement in car races, legal reasons, etc. the full terms and conditions are available at the rental station and must be signed by the driver when purchasing this product.

Roadside Assistance (RAP)
Alamo offers Roadside Assistance included in the daily rate. The assistance will cover vehicle malfunction. Events such as a flat tire, jump start, lockout service, fuel delivery, and key replacement non exhaustive list are not covered by roadside assistance protection. RAP is void and of no effect if at the time of the incident necessitating roadside assistance, the renter or aurhorized drivers are in violation of the rental agreement, including, without limitation, the prohibited uses and violations set fort therein. In such cases, roadside assistance will be available but standard charges will apply. Alamo rental locations do not provide direct roadside assistance to the customer. This assistance is provided by Touring Club Belgium on behalf of Alamo. This service is available 24/7 by calling 012/39 09 444 within the country of rental. Assistance outside the country of rental may be obtained by calling +32 12 39 09 44.



This rental does not include equipment products.

You have the following optional equipment products available for an additional charge:

GPS - on request locally (£ 8.71 / day)
Booster Seat - On request locally (£ 4.36 / day)
Child Safety Seat - On request locally (£ 17.42 / day)
Snow Chains - On request locally (£ 5.23 / day)
Winter Tyres - On request locally (£ 21.78 / day)



Your rental will be subject to the following minimum requirements:

Age requirements
All drivers must be at least 21 years of age or older. Drivers aged 21 - 24 may rent, (Economy - ECAR, EXAR, Compact-CCAR, Intermediate-ICMR. Drivers must be at least 25 years old to rent Premium-PXAR, Luxury- LDAR and Cans-FVMR. Drivers 21-24 years of age will be assessed an additional fee of 10 EUR per day excluding VAT, local premium location fees and surcharges where applicable. All car classes are available for renters 25 years and older at no additional charge.

Forms of Payment
Accepted methods of payment- VISA, Mastercard and AMEX are accepted. A security deposit on an accepted credit card - VISA, Mastercard and AMEX - is required at the time of rental. A minimum deposit will be held on the credit card, ranging from 250 EUR plus the cost of the rental to 2000 AUR plus the cost of the rental depending on vehicle class. Traveler's Checks and EUR Checks are not accepted at any time. Cash and debit cards cannot be used for the deposit but can be used for the payment of the rental on return.

Renter Requirement
All drivers rental and additional drivers must produce a valid driving license at the time of rental. In addition to a valid driving license, the primary renter must further produce an additional photographic identification passport and a major credit card in their own name. Multiple part driving license holders must produce all parts of their license. An international driving permit is required for anyone holding a non EU driving license. Additional id or further identification checks may be requested if deemed necessary. This may include an identity check with external partners who may check details supplied against databases to which they have access.



Your rental will be subject to the following additional rental policies:

After Hours Service
FOR AFTER-HOURS RETURN, PLEASE PARK THE VEHICLE IN THE DESIGNATED SPACES AT THE RENTAL OFFICE. PLEASE LOCK ALL CAR DOORS AND PLACE THE KEYS IN THE DROP BOX LOCATED ON THE RENTAL COUNTER. THE RENTER IS RESPONSIBLE FOR THE CONDITION OF THE RENTAL VEHICLE UNTIL THE VEHICLE IS INSPECTED BY AN EMPLOYEE AT THE START OF THE NEXT BUSINESS DAY. VEHICLES WILL BE INSPECTED DURING REGULAR BUSINESS HOURS 6.30-23.00.

Cross Boarder Policy
Cross Border Policy, the renter must advise that the vehicle will be taken across an international border at the time of rental. Cross-border travel other than the following countries is not permitted:

Contact the rental location for additional cross border restrictions. A penalty fee of 4,500 EUR will apply for the unauthorized drop of the rental vehicle in a country prohibited for cross-border travel. A penalty fee of 1,800 EUR will apply for unauthorized drop of the rental vehicle in France, Germany, Luxembourg and the Netherlands. A penalty fee of 4,000 EUR will apply for unauthorized drop of the rental vehicle in a country other than the country of rental origin.

Mileage Policy
Mileage charges if applicable will be quoted in the Rental Summary at time of booking

Fuel Policy
You will be required to return the vehicle with the same amount of fuel provided, pre purchased fuel options maybe available. Please ask on arrival if required

Additional Driver
There will be an additional charge of 15 EUR per day with a maximum of 100 EUR per rental, excluding VAT and location surcharges, for each additional authorized driver. full rental conditions apply to all additional drivers.



You will be responsible for the following additional charges or liabilities if incurred:

  • Additional rental charges for changes you make to the booked rental vehicle, rental period or optional products
  • Damages, theft or third-party liabilities not covered by a protection product
  • Any fines or penalty charges relating to the operation of the vehicle during your rental period, such as parking or speeding fines, plus reasonable administration charges
  • Rental charges for late returns
  • Any legal fees incurred collecting any payments due under the terms of the rental agreement
  • A reasonable collection fee if a vehicle is not returned to the original rental office
  • The cost of cleaning the vehicle if you return the vehicle in a dirty condition
When you complete the rental agreement you will be required to present a valid credit or debit card as security for any charges incurred during your rental. Your signature on the rental agreement will pre-authorise the Rental Company to charge the card for future payments that become due. The Rental Company may also hold a deposit against these future liabilities. In the country of your rental the deposit amount varies.
