Cancellation Charges

We will not charge for reservations cancelled 7 days or more before your pick up time. If you cancel your booking after this time, the following charges apply:

• If you cancel your booking less than 7 days before pick up time, you will be charged either the full cost of your booking or up to a maximum of £20 whichever is the lesser.
• If you cancel your booking less than 24 hours before your pick up time, you will be charged either the full cost of your booking or up to a maximum of £50, whichever is the lesser.

In the event of a cancellation, your credit card will be refunded, less the above charge.

No-shows & late or early arrivals

Your vehicle will be held for 2 hours from the specified reserved time. After this time we cannot guarantee a vehicle will be available upon arrival.

For all airport bookings, however, where a flight number has been supplied the vehicle will be held until the flight has landed and cleared. Where a flight delay results in a customer arriving after the station closing time a member of staff will wait for the flight to land and clear. If the delay is in excess of one hour after the station closing time an out of hours fee may apply. Where no flight number has been supplied we will hold the vehicle for a period of up to 2 hours or until station closing time, which ever is the earlier. Staff will not wait beyond closing time where no flight number is supplied.

When booking your vehicle please ensure the dates entered are correct, if your circumstances change and you require the vehicle on different dates/times please amend your reservation online.

Customers who arrive 1 day or more early at our rental stations with a reservation that does not match the current date will not be able to use the reservation reserved online. The branch may be able to offer an alternate reservation but please note the rates will not match the online reservation.

If you fail to collect your car on the specified pick-up date, we reserve the right to charge a no-show fee of either the cost of the booking or up to a maximum of £50, whichever is the lesser. In the event of a no-show, your credit card will be refunded, less the no-show charge.

Unused Rental Days

Please note that any unused rental days on prepaid reservations are non-refundable.

Rules and regulations - check before you travel

If you are planning to drive to abroad, you will need to be aware of your responsibilities to follow driving laws in your destination country. We strongly recommend you make your own investigations before travelling.

Driving abroad in Winter conditions

Whilst driving abroad in winter conditions, legally some countries will have restrictions on the equipment a vehicle should carry or have fitted, this can include snow tyres. Whilst driving abroad its important to adhere to the driving laws in that country. Failure to do so could result in a fine or temporary loss of your vehicle. Snow tyres and snow chains are available to hire for an additional fee and must be requested at time of booking. For online bookings where the pick-up country specified requires snow tyres a charge will normally be added to your reservation and these will be fitted to the vehicle. However, if you are planning to drive cross-border please check country requirements and request equipment be added to your reservation where appropriate by contacting our Call Centre.

We strongly recommend you make your own investigations as to whether or not you will require any additional winter equipment before travelling abroad. The RAC website (www.rac.co.uk/driving-abroad) provides additional information and tips on driving abroad.

Australia

Additional Driver Policy

Additional driver fee is 5.23 AUD per day plus GST to a maximum of 5 days (26.15 AUD plus GST). A maximum of four (4) additional drivers are permitted.

Age Requirements

The minimum rental age is: 21 Years for car groups ECMR (Economy), CDMR,CDAR (Compact), CFMR (Compact SUV), DDAR (Compact Elite), IDAR, IDMD, IDMR (Intermediate), IFAR (Intermediate SUV), SDAR, SCAR (Standard). 25 Years for all other car groups. There is no maximum rental age. A charge of 27.50 AUD per day plus GST applies to drivers aged 21-24 years - there is no maximum charge.

Cross Border Policy

Parts of Australia are not suitable for access by rental vehicles. To prevent damage to the Vehicle and for the customers own personal safety, we strictly apply conditions that restrict the use of the Vehicle as follows: 1) Unless given prior written consent, the vehicle must never be taken on any Unsealed Road unless Unsealed Road Cover (4WD or ALWD has been purchased (see Insurances & Waivers section). Even if Unsealed Road Cover (4WD or ALWD) has been purchased the vehicle must never be taken Off Road or any of the other roads listed below: (a) Off Road; (b) Between mainland Australia and Tasmania in either direction; (c) Onto any island that is off mainland Australia or Tasmania, with the exception of: (i) Kangaroo Island; (ii) Stradbroke Island; (iii) Magnetic Island; (iv) Bribie Island; or (v) Phillip Island; (d) On flood prone roads or any road where the state or condition of the road make the use of the Vehicle unsafe; (e) On any road where the police or any government or statutory authority has issued a warning, caution or which has been closed; (f) Onto any road where we have notified you that the use of the Vehicle is prohibited; (g) In Queensland: (i) Fraser Island (ii) North of Chillagoe or Georgetown; (iii) North of Cooktown or Laura; (iv) On the Burke Development Road; (v) North of Maggieville; (vi) On Unsealed Roads north and west of Mt Isa; (vii) On the Bloomfield track; or (viii) On the Savannah Way; (h ) On the Tanami Track and the Gunbarrel Highway in Western Australia and the Northern Territory; or (i) On the road from Jim Jim Falls to Twin Falls in the Northern Territory, even if Unsealed Road Cover - 4WD or Unsealed Road Cover - ALWD has been purchased. 2) There are other prohibited areas where you must never take the Vehicle: (a) In Western Australia: (i) On the Gibb River Road; (ii) On the Cape Leveque Road; (iii) On the road to Windjana Gorge; (iv) On the Cardabia - Ningaloo Road; or (v) On the access road from the Great Northern Highway to the Purnululu National Park, commonly known as the Bungle Bungles; or (b) In the Northern Territory on the Larapinta and Namitjira Drives, commonly known as the Mereenie Loop. If the Vehicle is a 4WD and you have purchased Unsealed Road Cover - 4WD and you have hired a second spare wheel from us, then you can drive on the roads listed above in points 2 (a) and (b). 3) And under no circumstances are customers allowed to travel: i) On beaches or through streams, dams, rivers, or flood waters ii) On flood prone roads or any roadway where the Police or any other Government authority have issued a warning or caution. Snow coverage is compulsory for vehicles travelling above the snow line. If a client travels to the snow fields without purchasing the Snow Coverage they will be liable for all costs associated with any accident or incident (see Insurances & Waivers section). Travel on Ferry Services in Australia is permitted for example; to Kangaroo Island and Bruny Island. Note: Liability coverage applies on Ferry services, with the exception that the vehicle has been submerged in water. If the vehicle is damaged as a result, the full cost of the vehicle and all costs to rectify the vehicle to its original condition or replacement of the vehicle will be liable.

Delivery / Collection

Delivery and collections are available on request only and can be arranged from Monday to Friday 09:00 - 16:00 and cost AUD 36.00 (inc GST) within a 10 KM radius of the location. Each additional KM will be charged at AUD 2.20 (inc GST). Exmouth incurs a Remote delivery fee to Leamonth Airport of AUD 90.00 (inc GST). The delivery or collection address must be a Hotel or Business address where the customer is employed. This must be requested by faxing the completed request form to the location with the delivery information. Location will confirm delivery service by fax. Delivery & Collections are not available at Airport locations. Delivery and collection is not available out of office hours. Vehicles can be returned out of office hours, but must check with location first.

Insurance Excess

Damage Liability Fee limits the customer's financial responsibility for loss, damage or theft of the rental vehicle. The maximum excess that is payable in the event of one of these incidents is AUD 5,500.00. The maximum excess will vary depending on the vehicle you are renting, please ask at time of rental for further information on which excess applies. If you would like to reduce or remove your excess responsibility please ask the rental staff when collecting your vehicle about additional products that are on offer. Super Collision Damage Waiver, Collision Damage Waiver and Super Peace of Mind are not available for drivers aged 21-22 years of age.

License Requirements

Customers must present a full valid driving licence. Probationary or restricted licences are not acceptable nor are photocopies. International arrivals into Australia are recommended to have arranged an International driver's licence before travel and provide this with their current country licence. A licence from the originating country will be accepted, providing it is in English and clearly demonstrates the expiry date, drivers address and permit conditions. Licences that are not in English will not be accepted without an international drivers licence. For identification purposes, we also require drivers to provide their credit card details. Photocopies of credit cards are not acceptable as ID. Should your driving license not be resident to the country of origin of your booking we reserve the right to charge an appropriate rate for your country of residence.

One Way Rentals

One way rentals are permitted for all car groups and drop charges may apply. A charge of AUD 3,850 + GST will apply for one way rentals to or from Tasmania. Please refer to the one way matrix. Driving restrictions apply - see cross border policy for further details. International one way rentals are not allowed.

Out of Hours Policy

Out of hours pick ups and drop offs are not allowed.

Payment Policy

All major credit cards are accepted (American Express/Diners Club/Mastercard/Visa). National vouchers, Travellers cheques in AUD and Debit Cards (Visa Debit and MasterCard Debit) are also accepted. Debit cards cannot be used to pay for FFAR (Fullsize SUV), IVAR (Intermediate Pax Van), HBAR (Economy Elite), IXAR (Intermediate), PDAR (Premium), PVAR (Premium Pax Van), PWAR (Premium Wagon-Estate), LDAR (Luxury) and PTAR (Premium Convertible). Credit cards and Debit Cards must be in the name of the renter. National charge cards and Eurocheques are not accepted. Cash rentals are not accepted, but additional charges may be paid with cash at the end of the rental if required. A security deposit (bond) of $100.00 AUD (including GST) is required which is held on the card until the vehicle is returned. A credit card is always required for deposits. There is a Credit Card/Debit Card Fee of 1.65% applicable for all cards.

Refuelling Policy

Vehicles are supplied with a full tank of fuel and must be returned the same amount of fuel, or a refuelling fee will be charged to the driver upon return at the location. At some locations, the customer has the option to purchase a full tank at time of collection and can return the vehicle without having to refuel.

Roadside Assistance

A 24 hour emergency road side assistance service is included with every rental. Roadside assistance is free for all mechanical damage defects not resulting from Renter misuse of the vehicle. All non-mechanical defects such as lost keys, keys locked in the vehicle, flat battery due to lights being left on etc will be charged for. Further details on fees and charges can be obtained by contacting the toll free number: 1800 625 035. Full details on accidents and breakdowns will be provided to the customer at time of rental.

Special Equipment

Infant Seats - CSI (suitable for: 0 - 13Kg / 0 - 12 months) - 7.00 AUD + GST per day, with a maximum charge of 70.00 AUD + GST per rental. Toddler Seats - CST (Suitable for: 9 - 18kg / 1 - 3 years) - 7.00 AUD + GST per day, with a maximum charge of 70.00 AUD + GST per rental. Booster Seats - BST (suitable for: 15 - 30 kg / 4 - 7 years) - 7.00 AUD + GST per day, with a maximum charge of 70.00 AUD + GST per rental. GPS are available and cost 9.95 per day AUD plus GST (10.95 AUD per day including GST) - with a maximum charge of 10 days (99.50 AUD plus GST / 109.50 AUD including GST). There is a replacement fee of $250.00 AUD (including GST) if the GPS is not returned. Please see below, with regards to availability. All child seats cannot be used with car group IVAR (Intermediate Pax Van). Government charges and a 3.5% Duty Recovery Fee (Administration Fee) applies - this is calculated on all items except Credit card fees, Airport Fee & GST. Premium Location Surcharge (PLS) Applies at the following: Adelaide Apt- 15.5%, Albury Apt - 9%, Alice Springs Apt - 17%, Avalon Apt - 17%, Ballina Apt - 10%, Brisbane Apt - 18%, Broome Apt - 11%, Bundaberg Airport - 3.5%, Canberra Airport - 22%, Coffs Harbour Airport - 8.5%, Cairns Apt - 18.5%, Canberra Apt - 18%, Coffs Harbour Apt - 7.5%, Coolangatta Apt - 14.5%, Darling Harbour - 5%, Darwin Apt - 16%, Dubbo Apt - 10%, Exmouth Apt/Learmonth - $80 (GST incl. PLS is calculated on all items except Toll Charges & GST. Tolls:Melbourne Road Toll 11.45 AUD plus GST (12.60 AUD including GST) for small vehicles and 19.55 AUD plus GST (21.50 AUD including GST) for heavy commercial vehicles per day (if applicable). An administration fee of 38.50 AUD will be charged, should a toll notice be received for a customer who has failed to pay the toll cover. Vehicle Registration Recovery Fee costs 5.95 AUD per day plus GST (6.55 AUD per day including GST) - there is no maximum charge. Fee is to partially recover the vehicle registration costs. Unlimited mileage in most locations for all vehicles excluding IXAR (Intermediate), PDAR( Premium), FFMR, FFAR (Full Size), IVAR (Intermediate Pax Van), HBAR (Economy Elite) & LDAR (Luxury). These vehicles only have 200 kilometres per day. Additional kilometres are charged 0.275 AUD per km (including GST) for FFAR and 0.363 AUD per km (including GST) for all other car groups, unless contracted product includes unlimited mileage - refer to contracted rate sheet.
